The most common mistake is treating Archive as a privacy measure. OpenAI’s help documentation says archiving keeps the conversation in your account under the same retention rules as other saved chats. It tidies the sidebar. It doesn’t protect or remove anything.
How Each Platform Handles Your Chat History
ChatGPT: Archive, Delete, Temporary Chat and Export
Archive and delete. From a chat’s menu you can archive or delete it, and Settings > Data controls offers Archive all chats and Delete all chats. OpenAI says regular and archived chats stay saved until you delete them or a workspace retention policy removes them. When you delete a chat, it leaves your view immediately and is scheduled for permanent deletion from OpenAI’s systems within 30 days, unless it was already de-identified and disassociated from your account or must be retained for security or legal reasons. OpenAI also says you can’t restore a deleted chat, even through Support.
Bulk actions apply to everything, including chats inside Projects, so read the button before you click.
Temporary Chat. A temporary chat doesn’t appear in your history unless you save it. OpenAI may keep a copy for up to 30 days for safety purposes. Saving it turns it into a regular chat.
Memory is separate. Deleting a chat and deleting what ChatGPT remembers about you are different actions. One third-party guide notes that turning off Reference chat history causes remembered information to be deleted from OpenAI’s systems within about 30 days.
Training is a separate setting too. OpenAI’s help text says deleted chats are removed from its systems within 30 days, and that unless you’ve opted out, it may use de-identified chats to improve model performance. Check your data-use setting if that matters to you.
Export. Go to Settings > Data controls, select Export under Export data, then confirm. ChatGPT sends an email or text when the export is ready. Per OpenAI, the download link expires 24 hours after you receive it, and you should download it while signed in to the account that requested it. The ZIP includes your chat history and other account data, and OpenAI warns the file can contain sensitive information, so keep the link and files secure. If the link expires, request a new export. What’s inside the ZIP. Published guides describe a chat.html file and a structured JSON file. The JSON deserves a warning: a developer who built a conversion workflow notes that conversations can branch if you’ve used the Edit feature, because the exported data stores a parent message with a list of child messages. In other words, it’s a message tree, not a flat transcript, and a naive conversion can include edited-away versions.
Gemini: Keep Activity, Auto-Delete and Takeout
Keep Activity. Google stores Gemini activity in your account when Keep Activity is on. One guide reports the setting was renamed from Gemini Apps Activity in August 2025, and you may still see both labels. You can delete the last hour, the last day, or all time, and you can turn Keep Activity off.
The 72-hour rule. Google’s help page is explicit: even when activity is off, conversations are saved with your account for up to 72 hours so Google can provide the service and process feedback. Work and school accounts. These run on a different system, and the personal steps don’t apply. A work or school Microsoft 365 account uses My Account > Settings & Privacy > Privacy > Data options to delete Microsoft 365 Copilot activity history.
